Fit the request to the end of a dental visit
The cleanest dental review workflow begins only after the patient understands what happens next. That usually means care instructions have been delivered, follow-up or recall scheduling is settled, and billing questions have been routed to the right person.
This is a consistent service-stage rule—not a way to select only happy patients. If a patient raises a concern, handle it through the practice’s normal process. Do not hide the public review option from that person while offering it to people staff believe will leave high ratings.
Common qualifying handoffs include:
- routine hygiene checkout after the next appointment is scheduled;
- a completed restorative visit after post-care instructions;
- a consultation after the patient’s questions are answered, whether or not treatment is accepted; and
- a family checkout after the appropriate adult understands the next step.
Avoid asking while the patient is in the chair, numb, making a treatment decision, discussing financing, or trying to understand a new diagnosis.
Choose a stand by checkout ownership

Before launch, stand where the patient stands and verify:
- The invitation and QR code are easy to see.
- The stand can be reached without crossing payment equipment.
- A phone camera will not frame private paperwork or screens.
- NFC and QR both open the correct dental practice location.
- Cleaning does not cover, move, or damage the code.
If the safest position is not visible during checkout, adjust the handoff instead of placing the stand near clinical equipment or confidential material.
Give the team one neutral script

If a patient asks what to say, the staff member can answer: “Please use your own words about your own experience.” Staff should not request five stars, suggest procedure names, watch the phone, or offer a discount, drawing entry, free add-on, or referral reward for posting.
Google’s current Business Profile guidance permits businesses to remind customers to leave reviews and to share a link or QR code. Its contribution rules require genuine experiences and prohibit incentivized reviews. The practice should review those official sources whenever it updates training.
Use a repeatable dental-office workflow
- Complete the care handoff. Give instructions and answer immediate questions.
- Complete the administrative handoff. Resolve scheduling and route financial questions appropriately.
- Use the same invitation. Offer the optional tap-or-scan path at the defined stage for every eligible checkout.
- Step away. Do not take the phone, observe the rating, or ask whether a review was submitted.
- Test the equipment. A named office manager checks the destination and physical condition on a schedule.
The management measure is process integrity: correct placement, functioning links, consistent language, and privacy. Review counts and ratings should not become staff quotas.
Protect privacy before and after the request
The placement should reveal no patient information. The response workflow matters too. The American Dental Association cautions practices that public replies can create privacy problems, including when a response confirms that the reviewer was a patient.
Create approved general response patterns before staff begin soliciting reviews. A public reply should not mention appointments, insurance, procedures, diagnoses, family relationships, or anything learned from a patient record. Move sensitive follow-up to the practice’s established private channel without confirming details publicly.
This is operational guidance rather than legal advice. The practice’s privacy or compliance lead should approve the workflow under applicable federal and state requirements.
Prevent wrong-profile reviews
A group with several offices should maintain a simple device register:
- internal stand name;
- physical location;
- exact Google Business Profile;
- account owner;
- last NFC test;
- last QR test; and
- person responsible for corrections.
Test from the patient side using representative phones. A successful tap does not prove the QR works, and a successful scan does not prove NFC works. Re-test both after a destination, ownership, profile, or location change.
Decide whether software solves another problem
